R.A.S Intérim improves the management of its car fleet with Notilus YourWay
R.A.S Intérim (Rhône-Alpes Services) is a temporary work and recruitment company created in 1969, specializing in transport and logistics, with 600 employees and a turnover of 237M€ in 2017. It is also present in certain niches such as the hotel/restaurant industry, green spaces, sports, retail and medical. With more than 120 agencies in France, it has been expanding since 2012. The decision to automate and invest in a fleet management solution was made over time with the development of the fleet, as the Microsoft Excel spreadsheet had shown its limits.
A fleet management solution to gain visibility
The car fleet, comprised of 200 vehicles, was originally managed with an Excel file, which lacked flexibility, according to Nicolas Deshaires, general resources manager and co-manager of the car fleet with Lucine DELETANG at the head office in Lyon. This involved a lot of manual input for assignments, with very little visibility over eventual changes in these assignments and the follow-up of the vehicles. There were no historic records either. It was therefore necessary to simplify and rationalize the management.
R.A.S Intérim studied the market while drafting a specification with a clear end goal in mind: to obtain a global vision over the fleet. Prerequisites were developed during the benchmarking process. Several solutions – including free ones and some that offered real estate or telecom fleet management – were tested, without bringing any significant added value compared to Excel. R.A.S. Intérim wanted a scalable and ergonomic tool that would fit within a reasonable budget.
Streamlined project processes
Mr Deshaires was able to test the functionalities of Notilus YourWay for one month and to exchange with DIMO SOFTWARE product representatives. According to him: “The co-construction part of the solution was a decisive plus because R.A.S did not want a ready-made solution that the company would have had to adapt to”. Less than 3 months passed between his learning of Notilus and signing with DIMO, while solution deployment took a month.
“Being myself more technical-minded rather than commercial, I appreciated being virtually integrated from the start into the solution with the technical team. I got to enjoy a good relationship with them, as well as their reactivity and transparency. More than service providers, R.A.S Intérim seeks to create ties with partners. At DIMO, we found the same human values and openness to which we are attached, which made our exchanges easier ” explains Mr Deshaires.
The project was launched before summer 2018. During the implementation phase, all the organizational elements, including HR, vehicles, entry and exit dates, etc. had to be imported into the database, which meant a lot of work upfront. “We were given a master plan, and the framework of the database to be integrated was quite simple to put together. After that, the integration was done very quickly, in less than a week,” says Mr Deshaires.
The bottom line: more flexibility and a global vision
After 4 months, Mr Deshaires notes: “We went through an initial phase during which we worked on both Notilus YourWay and the original Excel spreadsheet. Regarding the former, the rendering and indicators provided are very effective in our daily management, and for the follow-up and history, the solution provides real added value. We kept the Excel spreadsheet because during the co-construction phase there were other productions still underway according to a pre-established schedule, but we will gradually abandon it. Today, data entry is lightened. The fact that everything (employee, management by subsidiary, etc.) is easily cross-referenced gives us a much better overview. Notilus YourWay is becoming our reference tool for fleet management, especially since we are in a phase of continuous improvement.
Projections to manage growth
R.A.S intérim is studying the possibility of modernizing its expense report management which is presently in a similar state to the car fleet before the arrival of Notilus YourWay, i.e., Excel tables. “We would like to focus more on the user side, and lay some foundations before adding new layers to the solution. Having a global vision of a newly created agency from a personnel and fleet point of view would be a bonus” concludes Mr Deshaires.
In summary: the car fleet management solution has enabled R.A.S Intérim to automate processes that had become inefficient in the context of growth because they required a lot of manual input. Thanks to Notilus YourWay, the company now has relevant renderings and indicators to facilitate its daily management.
